Who is responsible for your information

The Summit Collection Ltd, trading as SkiAccommodation.com, is the controller of personal information collected through our website and enquiries. We are registered in England and Wales with company number 17173164. Our registered office is 20 Parker Road, Croydon, England, CR0 1DU. Information you give us

We use the details you provide when you contact us, including your name, email, phone number, contact preference and correspondence. Holiday enquiries may include travel dates, destinations, accommodation preferences, budgets and the number and ages of children in your party. Business enquiries may include your company, website and message.

Please provide only information needed for your enquiry. Do not include passport details, payment-card details or sensitive health information in these forms. If you provide information about other people, make sure you are entitled to do so and share this notice with them. An adult should make enquiries involving children; we do not ask for children's names or contact details in the forms.

Our hosting and security services also process technical information such as IP addresses, request times, browser information and security events to deliver and protect the website.

Why we use it

We use your information to respond, understand what you need, prepare proposals, communicate with you and manage business relationships. We rely on our legitimate interests in running the business and helping people find accommodation, balanced against your rights. Where we take steps at your request before entering a contract with you, or fulfil a contract with you, we rely on that basis instead. We also process information where necessary to comply with legal obligations.

We use limited technical information for our legitimate interests in keeping the website secure and reliable. Enquiries are not a sign-up to marketing emails. We do not use your enquiry for automated decisions that have legal or similarly significant effects.

Your name and email are needed for a form enquiry, and a phone number is needed if you ask us to reply by telephone or WhatsApp. Other form details are optional. You are not legally required to use these forms, but we may be unable to respond without contact details.

Who receives your information

Our authorised team accesses enquiries. Service providers help us run the website, deliver enquiry emails and manage correspondence, including Vercel for hosting, Resend for delivering website form enquiries by email and Google Workspace for our business mailbox. We share only the relevant details with accommodation agencies or other professional advisers when needed to handle your enquiry or booking, and explain the parties involved before a booking is made. We may also disclose information where legally required. We do not sell your personal information.

When you submit one of our website forms, the details you entered are sent through Resend as an email to our business mailbox, where our team reads and replies to them. The website does not keep its own separate database of form enquiries. Resend keeps delivery records according to its own retention settings.

If you choose WhatsApp or follow an external link, the external service also processes information under its own privacy notice.

International processing

Our service providers may process information outside the UK, including in Europe and the United States. For international transfers, their data-processing terms provide for UK adequacy regulations or contractual safeguards, including standard contractual clauses with the UK Addendum where required. Contact info@skiaccommodation.com for information about the recipients and safeguards relevant to your data, or a copy of those safeguards. We explain the accommodation agency involved before you book.

How long we keep it

We keep enquiry information while handling your request and for a period afterwards where needed for follow-up, resolving questions or establishing and defending legal rights. We decide that period according to whether the enquiry remains active, the nature of the correspondence, any booking and applicable legal requirements. Booking, accounting and legal records may need to be retained for longer. We review information and delete it when it is no longer needed. Technical and delivery records follow the relevant service provider's retention settings.

Your rights

Depending on the circumstances, you can ask for access to your information, correction, deletion, restriction or a portable copy.

You can object to processing based on legitimate interests. Email info@skiaccommodation.com to exercise your rights or ask us to explain how they apply. If any processing relies on your consent, you can withdraw that consent at any time without affecting earlier lawful processing.

You can raise a concern with us and complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/. You do not have to contact us before contacting the ICO.
